Diller Teen Fellows is a premier leadership development and identity-building program for Jewish teens, established in San Francisco in 1998 by the Helen Diller Family Foundation. With 32 participating communities in seven countries and more than 9,500 alumni, Diller is housed within The Jewish Federation Bay Area. The Administrative Coordinator provides administrative support for day-to-day operations, financial processes, and program activities across a remote team spanning multiple time zones, primarily North America and Israel.
Responsibilities: • Manage finance and administrative processes including purchase requests, expense tracking, invoice processing, and budget monitoring • Work with the Federation Accounting department to ensure timely payment of invoices and allocation of funds to partner communities • Support vendor management, including contracts and supply ordering • Maintain electronic filing systems, records, and contact lists in Google Suite, Salesforce, and Excel • Manage day-to-day office operations and onboarding/offboarding logistics for team members • Support the Executive Director with scheduling, meeting coordination, and project tracking • Book travel and support staff gatherings, retreats, and special projects
Qualifications: • Highly organized, efficient, proactive, and detail-oriented • Comfortable managing multiple priorities for a large, geographically distributed team
Schedule: Full-time hourly and hybrid, with three days per week in the San Francisco office. Some flexibility with hours is required, including meetings beginning at 8am PT approximately once per week. Short-term travel within North America 1-2 times per year. Reports to the Chief of Staff.
