Shalom Austin seeks an Executive Office Administrative Coordinator to provide administrative, scheduling, meeting, and project support to the Executive Assistant to the CEO and the Executive Office. The role helps ensure executive, board, committee, and organizational activities are coordinated efficiently, allowing senior staff to focus on governance, strategy, and other high-priority work.
Responsibilities: • Provide administrative and clerical support to the Executive Assistant to the CEO and members of the Executive Leadership Team • Coordinate calendars and meeting logistics including scheduling, room and virtual-meeting reservations, invitations, attendance tracking, and technology setup • Support Board of Directors, committee, task force, and staff meetings by preparing agendas and packets and coordinating follow-up • Attend selected meetings, including occasional evening meetings, to take notes, prepare draft minutes, and track action items • Draft, format, proofread, and distribute correspondence, presentations, and reports • Maintain accurate electronic files, records, calendars, and document libraries • Handle confidential, sensitive, and time-critical information with discretion
Qualifications: • Excellent organization, discretion, and responsiveness • Comfort managing a varied workload in a collaborative environment • Proficiency with Microsoft 365 and other organizational systems
Salary: $48,000-$53,000 annually.
